Retention Schedule

Control of the document life cycle

The retention schedule is one of the foundations of any compliant document management system. It defines the lifespan of documents, the actions to be taken at each stage of their cycle and the conditions under which they are retained or destroyed based on your legal, administrative and historical obligations.

Controlling your document life cycle is crucial to effectively managing your accumulating archives, simplifying management and saving you time and money.

Our expertise at your service

If you want to manage your records efficiently, you must choose a retention schedule that makes sense with your organization’s unique needs. The schedule optimizes daily operations, reduces storage costs and improves overall efficiency.

Here are the key steps our team will take when creating and integrating your retention schedule:

  1. Document analysis
  2. Development of retention policies
  3. Awareness and training
  4. Reviews and updates

Public bodies and the Archives Act

The retention rules applicable to documents held by public bodies were overhauled in 2022. We offer a service to upgrade your retention schedule, in compliance with the new rules in force and with section 7 of the Archives Act, which stipulates that every public body must establish and keep up to date a retention schedule.

Section 8 of the Archives Act also provides that every public body must submit its retention schedule and every modification of it to Bibliothèque et Archives nationales du Québec (BAnQ) for approval.

Our team provides comprehensive management of your approval process via the GALA (Gestion de l’application de la Loi sur les archives) system.
